1. The Technical Extraction Process
Once every ledger account is balanced off, you extract the Trial Balance. This step involves scanning the general ledger, copying out every account name that has a non-zero balance, and placing its Balance b/d value into either the Debit or Credit column of a summary sheet.
2. Formatting Standards
A formal Trial Balance must follow strict professional standards:
- A three-line heading containing the Company Name, the title Trial Balance, and the exact reporting date (e.g., As of June 30, 2026).
- Two clear columns: Debits on the left, Credits on the right.
- Accounts listed in order of their Chart of Accounts categories (Assets first, then Liabilities, Equity, Revenues, and Expenses).
- A final total line with double underlines to show the columns balance.
3. Mathematical Proof of Double-Entry
The Trial Balance proves that the system balances mathematically. Because every transaction was recorded with equal debits and credits, the sum of all debit balances must equal the sum of all credit balances:
