7.1 The Architecture of Binding Management Action Plans
An audit report cannot function simply as a list of corporate failures; it must serve as an active driver of process optimization. Before the final audit report is formally published and routed to the board, the CAE sends the draft findings to the targeted business unit leader, who must provide an immediate, formal text response.
This response is codified within the central database as a binding Management Action Plan (MAP), transforming audit recommendations into concrete performance commitments.
7.2 The Structural Parameters of a Compliant MAP Entry
To prevent executive managers from issuing vague or non-committal responses to close out files, the GRC platform enforces strict formatting templates for every MAP entry.
The text must explicitly define:
- A formal statement confirming whether management accepts or declines the identified risk.
- A granular list of explicit operational milestones that will be executed to remediate the gap.
- The designation of a single, accountable corporate manager to act as the primary risk owner.
- A firm, non-degradable, and calendar-dated Remediation Deadline Date.
7.3 Executing Strict Follow-Up and Escalation Governance
Once a final report is issued, all open findings are logged within the centralized tracking register. The internal audit department executes a strict Follow-Up Protocol, requiring auditors to perform targeted verification testing once a management deadline date passes.
Business unit managers are completely barred from marking an infraction closed through basic email notifications or verbal assertions; they must submit empirical evidence proving the new control is operational:
If Current_Date > Remediation_Deadline_Date And Verification_Status == Unconfirmed ---> Trigger Automated Escalation Path
If Escalation_Tier == 3 ---> Route Overdue Infraction Report Straight to CEO & Board Audit Committee Chair
If a manager misses a deadline or attempts to delay a process fix, the system triggers an un-degradable escalation path, reporting the overdue infraction straight to the CEO and the Board Audit Committee, ensuring total institutional accountability.
